This simple tool helps me ensure I'm following best practices, from clarity and conciseness to understanding my target audience and the 'who, what, when, why, and how' of my message. In this blog post, I'll share the importance of this checklist to help you plan your messages with greater impact.


Communication Checklist


Before Sending:

Your Purpose:

  • What is the primary goal of this communication?

  • Is it to inform, persuade, entertain, motivate, build relationships, or something else?

  • Having a clear purpose will guide the tone, content, and delivery of your message.

  • What value does this message have for the sender and the recipient?

Audience Analysis:

  • Who is the target audience?

  • What are their knowledge level, interests, and needs?

  • How can the message be tailored to their specific needs?

Tone and Language:

  • Is the tone appropriate for the audience and the message?

  • Is the language clear, concise, and easy to understand?

  • Are there any potential misunderstandings due to word choice or phrasing?

Channel Selection:

  • Is the chosen channel (email, phone, in-person, etc.) the most effective way to communicate the message?

  • Does the channel align with the urgency and sensitivity of the message?

Message Editing:

  • Is the message free of errors in grammar, punctuation, and spelling?

  • Is the message well-organized and easy to follow?

  • Is the message concise and to the point?

Timing:

  • Is the timing of the message appropriate?

  • Will the recipient be available to receive and process the message?

  • Is there a deadline or time constraint to consider?

Cultural Appropriateness:

  • Is the message culturally sensitive and respectful of the recipient's background?

  • Are there any cultural nuances or customs to be aware of?

  • Is the message free of stereotypes or biases?



After Sending:

Follow-up:

  • Is a follow-up necessary to clarify any points or address any questions?

  • If so, when is the best time to follow up?

  • Feedback:

  • Is feedback required or expected?

  • How will feedback be collected and analyzed?


Evaluation:

  • Was the message effective in achieving its intended goals?

  • Were there any communication breakdowns or misunderstandings?

  • What can be learned from this communication for future interactions?

  • By carefully considering these factors, you can improve the effectiveness of your communication and build stronger relationships.
